AI in Property Management: Hype vs. Reality

Where AI actually helps PMs today (3 specific cases), where it's marketing fluff, and what to expect in the next 12 months.

Every PM software vendor is shouting "AI!" right now. Here's what's actually useful in 2026.

AI that genuinely saves time today

  1. Maintenance ticket triage — when a tenant submits "the toilet is making a weird noise," AI can categorize it (Plumbing > Toilet > Mechanical), suggest a priority (Medium), and recommend assigning to your usual plumber based on history. Saves 30-60 seconds per ticket. At 200 tickets/year, that's 2 hours of your life back.

  2. Lease drafting — give the AI the basics (state, term, rent, deposit, special clauses) and it generates a state-compliant lease that's 90% there. You spend 5 min reviewing instead of 30 min drafting. Caveat: never publish without a human read.

  3. Bill scan / OCR — upload a vendor invoice photo, AI extracts vendor name, amount, date, line items, and books it to the right expense category. Saves 1-2 min per bill. At 30 bills/month, that's 1 hour/mo.

AI that's marketing fluff

  1. "AI-powered tenant screening" — there's no AI in TransUnion / Experian credit pull. It's the same data they've returned for 20 years.

  2. "AI rent pricing recommendations" — most "AI" pricing tools are just pulling Zillow/Rentometer comps and wrapping them in a chart. Useful! But not AI in any meaningful sense.

  3. "AI customer service chatbot" — the chatbots that actually work for PM are still very narrow (FAQ deflection). Real complex cases still need a human.

What's coming in the next 12 months

  • Voice AI for prospect leasing (think: a phone bot that can answer "is the unit pet-friendly?" without you picking up). EliseAI does this well at enterprise. We're watching the cost curve.
  • AI lease compliance scanning (uploaded leases auto-checked for missing required clauses by state)
  • AI-assisted owner reporting (auto-generated narratives explaining variances)

Our honest take

Don't pick a PM software based on its AI features alone. Pick based on: does the core CRUD (properties / tenants / leases / payments / maintenance) feel solid? AI is a multiplier — if the foundation is shaky, AI on top doesn't save it.
